PRIMARY FUNCTION

Reports to the Office Manager and coordinates/collaborates with the management of all administrative matters of interest to the Division of Thoracic and Esophageal Surgery. This position supports the non-clinical and academic activities of the faculty and staff of the division. This position and will serve as the primary contact for the administrative office for the Division of Thoracic Surgery Excellent, organization, prioritization, communication, decision-making, and multi-tasking skills are essential in this key role.

ESSENTIAL FUNCTIONS:

  • Maintain complete calendar and meeting scheduling for Divisional activities; resolve conflicts in schedule
  • Maintains and manages the consult line
    • Communicates with the providers
    • Ensures proper distribution according to physician staffing
    • Updates protocol per division needs
  • Support physicians’ activities:
    • Coordinate travel to meetings, conferences, society meetings and process reimbursements
    • Maintain and update CV, membership/subscriptions, process dues and fees
    • Handle renewal of licensures/privileges
    • Acts as gatekeeper to the Physicians
  • Coordinates Divisional staff efforts (planning, scheduling and delegating)
  • Support Faculty with various clerical needs to be determined in conjunction with Division Director
  • Maintains liaison with both internal and external constituents
  • Review incoming/outgoing correspondence and communications and draft appropriate responses
  • Manage work flow and prioritize tasks
  • Participate in relevant meetings
  • Coordinate committee meetings
  • Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson.

EDUCATIONAL/TRAINING REQUIREMENTS:

  • High school diploma or equivalent, plus one to two years related work-experience and the ability to work in a fast paced environment is required.

EXPERIENCE REQUIREMENTS:

  • Minimum two years of experience in similar or related position. Healthcare experience preferred.
  • Should be knowledgeable in Microsoft Word, Excel, Office, and PowerPoint.
  • Individual must be able to work independently and with minimal supervision, demonstrate initiative, establish work priorities and be detail oriented.
  • Assistant must be discrete and capable of handling confidential information.
