Matrix Providers is hiring an Administrative Assistant to join our team of talented professionals who provide health care services to our Military Service Members and their families in at Walter Reed National Military Medical Center Bethesda, Maryland.

Minimum Qualifications:

  • Degree/Education: Must have a High School Diploma or higher.
  • Experience: Possess a minimum of one-year professional experience within the preceding three years working as an administrative assistant, office assistant or secretary.
  • Certification: Basic Life Support for Healthcare Providers, American Heart Association, or American Red Cross Healthcare Provider Course.
  • Legal Authorization to Work in the United States: The contract worker performing under this contract must be a U.S. Citizen.

Core Duties:

  • Provides medical administration services in a wide range of organizational, business
  • and financial operations. This individual will assist senior level management by providing technical expertise and administrative support impacting plans and operations, compliance, risk and quality management, managed care, human resource management, logistics management, patient administration, budgetary and fiscal management, medical manpower, information management, medical readiness, medical facility management, and biometrics.
  • High level of competency and knowledge in MHS Genesis patient referral management and appointing modules.
  • Proficiency in Microsoft Office to include Word, Excel, PowerPoint, and Access.
  • Ability to evaluate, interpret, analyze and recommend corrections to data and databases.
  • Knowledge of TMA (TRICARE Management Activity) and DHA/NCR MD standards and guidelines.
  • High level of communication skills to include writing and public speaking in front of groups larger than 30 as required.
  • Capability to analyze descriptive statistical methods for representing and identifying trends and changes in clinical workload data for Command reporting.
  • Availability to obtain access and perform functions within the Regional Contractor Database (CCS).
  • Strong ability to use judgment and discretion when working with various levels within and outside the organization.
  • Familiarity with the insurance industry and practices is required.
  • Knowledge of Department of Defense, TRICARE and Regional and local support services is desirable.
  • Ability to read, write, speak and understand English.
  • Knowledge of TRICARE Fundamental Course.
  • Unique Military Health Care Systems/Procedures:
    • (MHS Genesis) formally known as the Armed Forces Health Longitudinal Technology Application (AHLTA). Contractor HCP shall attend training in the use of MHS Genesis.
  • Advises patients and agencies such as TRICARE insurance companies, social services, and medical activities on policies associated with releasing medical information.
  • Coordinates scheduling of clinical appointments for referrals written to WRNMMC specialty care services for all US Army, USMC, USN, AF, and other MTF Enrolled patients in accordance with DHA/NCR MD Access to Care Standards. This includes VA and over 65 patients as well as other patients.
  • Conducts training for all MTF Nurse Case Managers on the WRNMMC-VA-TDY referral process and DHA/NCR MD Access to Care requirements.
  • Verifies appropriate healthcare enrollment in TRICARE by interfacing with the Managed Care Support Contractors across the country. Obtains necessary authorization from managed Care Support Contract (MCSC) when required. Verifies that care is available at the MTF that the VA patient will be coming to for care. Locates TRI-CARE network and/or certified providers in the desired care location and confirm all appointments are scheduled in the appropriate time frame.
  • Reviews discharge plan with providers, care coordinators, and VA case managers on complex multidisciplinary cases authorizing appropriate appointments in various specialties and subspecialties.
  • Researches and recommends new guidelines for interfacing with Health Care Finder Services with the equivalent functions of the civilian health care delivery system supporting TRICARE. Verifies that all VA coordinated health care has been appropriately authorized through the Fee Based Office associated with the corresponding VA facility; ensures proper authorizations are received prior to patient’s arrival. Submits recommendations to VA for approval regarding the coordination of the procurement of durable medical equipment (DME) for VA patients and assists with the coordination of delivery of equipment to VA patients, if approved.
  • Establishes and keeps current military and medical points of contact (POCs) list at all of the mobilization sites and MTFs. Ensured any necessary care authorization is obtained, prior to VA patients either entering the MTF or re-turning to the VA. Coordinates care for patients outside of the NCR eMSM to assist in orders being cut for patients to have a smooth transition to WRNMMC. Briefs clinics and patients on coordinated medical care, mobilization site, medical and military POCs with phone numbers, civilian care authorization numbers, emergency care procedures, and appropriate claims billing address.
  • Prepares and provides daily reports to the Patient Administration Department (PAD) and MTF/VA POCs as to the status of VA patients and other MTF enrolled that have cleared through the Managed Care Office. Maintain updated database consisting of all required metrics for statistical analysis. Prepares periodic reports for VA and MTF outside MTF enrolled for accountability by extracting weekly workload productivity and submits to the Chief, Department of Managed Care.
  • Coordinates approximately 300 OIF/OEF referrals a week.
  • Verifies healthcare enrollment in TRICARE for approximately 30 patients a week.
  • Submits recommendations and coordinate the procurement of an average of 15 pieces of medical equipment a week/month.
  • Ensures necessary care authorization is obtained for approximately 20 VA patients a week.
  • Educates an average of 35 soldiers a week on coordinated medical care.
  • Prepares and provides daily reports to PAD on the status of approximately 300 soldiers a week.
  • Maintains and updates a database for a department consisting of 600 personnel.
  • Coordinates and processes VA and outside MTF referrals as required within policy guidelines.
  • Reviews inpatient report daily.
  • Prepares and submits reports to the WRNMMC Senior Leadership.
  • Verifies that all civilian coordinated health care has been appropriately authorized as required.
  • Educates VA and outside MTF enrolled patients regarding Military Health Systems and TRICARE procedures.
  • Ensures that all clinical appointments are scheduled within NCR-MD guidelines and written policies.
  • Attends monthly Patient Placement Advocacy Team (PPAT) and provides the meeting minutes to the PPAT DHO Deputy Director within 3 working days.
  • Processes room requests for Bldg. 62 for AD Service Members coming to WRNMMC for medical treatment.

Hours of Performance:

Administrative Assistant HCC Operations services are required Monday through Friday between the hours of 0730 and 1630.

Mission Essential:

This position is classified as non-mission essential. Your position is not essential to maintaining critical operations and functions, especially during emergencies or disruptions.

Closures:

During a planned closure of the facility due to training, holiday the employee will be compensated only for the hours the health care worker (HCW) provided services.

During an unplanned closure due to unusual compelling circumstances (e.g., natural disasters, military emergencies, severe weather, etc.), the employee will be compensated only for the hours the health care worker (HCW) provided services.
