EDUCATIONAL/TRAINING REQUIREMENTS:

  • High school diploma or equivalent required.
  • Bachelors degree or diploma in Medical Secretarial Studies preferred.
  • Typing minimum of 70 wpm; medical terminology needed

EXPERIENCE REQUIREMENTS:

Three years’ experience, with at least 1-2 years in an academic setting preferred

PRIMARY FUNCTION:

Administrative support for physicians/faculty of Rehab Medicine and Jefferson College of Rehabilitation Science. This position will support the Clinical Associate Professor (Director of Spasticity Management Fellowship), Assistant Professor (Assistant Director of Undergraduate Medical Education), Assistant Professor, Director of Cancer Rehab (Palliative Care) and Nurse Practioner.

ESSENTIAL FUNCTIONS:

  • Performs full administrative and general office duties involving word processing/new technology platforms, record and file maintenance in line with department policies and responsibilities.
  • Responsible for renewal of privileges, licensure and memberships.
  • Maintain expense track of all allowances for physicians, NP, resident’s, and Fellow’s (yearly, fiscal year).
  • Responsible for processing all invoices (medication request, delivery services, red bag disposal, etc.) and reimbursements (ASCENT/Acct. Payable/Concur)
  • Creates correspondence, reports, lecture materials, grant proposals and other matters for the department/college with direction from Chair/Center Director/Program Directors or faculty.
  • Performs additional office support functions and other duties as assigned.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions:

  • Coordinates with other staff to ensure the office is not vacant during working hours.
  • Communicate effectively with peers and supervisor regarding performance and integrates feedback.
  • Maintain administrative files for assigned faculty.
  • Other duties as assigned.
