Requirements:

  • Bachelor’s degree or equivalent work experience.
  • Previous administrative or support experience in an educational setting preferred.
  • Highly organized and detail-oriented.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and as part of a team.
  • Strong interpersonal skills, with the ability to interact effectively with students, faculty, and staff.
  • Proficiency with Microsoft Office Suite and other relevant software.

Overview:

The Administrative Assistant will play a pivotal role in supporting the daily operations and strategic initiatives of the Doctoral Program. This individual will ensure smooth student enrollment processes, effective communication with students and applicants, and provide comprehensive support to the Program Director.

Location: Virtual (Program housed on Center City campus, may require periodic travel to campus)

Department: Department of Health Sciences and Clinical Practice

Reports To: Program Director

Key Responsibilities:

Program Management:

  • Provide comprehensive support to the Program Director in all aspects of program management, including preparation of reports, presentations, and other administrative tasks.
  • Manage the Program Director's calendar, coordinating meetings, events, and other relevant activities.

Student Enrollment and Recruitment:

  • Support student enrollment processes, ensuring all paperwork and requirements are met.
  • Aid in the recruitment process by fielding inquiries and assisting in communication efforts to prospective students.

Course Registration:

  • Coordinate course registrations and manage updates to programs of study.
  • Ensure timely communication with faculty and students regarding course schedules and requirements.
  • Liaise with faculty to gather course material, update schedules, and address any concerns related to course registration.

Scheduling and Filing:

  • Maintain and organize the program's filing system, ensuring all documents are easily accessible and up-to-date.
  • Schedule student mentor meetings, ensuring no conflicts and effective communication to all parties.

Communication:

  • Serve as one of the first points of contact for students, faculty and applicants, ensuring timely and clear communication.
  • Draft and disseminate program-related communications, including announcements, reminders, and updates.
