The Practice Operations Administrative Assistant is responsible for supporting the corporate goals and initiatives of the Practice Operations team. The Practice Operations Administrative Assistant is accountable for assigned projects in the day-to-day operations of the Practice Operations Department, as well as support of the practice managers across the organization. The Practice Operations Administrative Assistant reports to the Practice Operation Administration Supervisor.

Primary Responsibilities:

  • Provide direct support for our Chief Financial Officer with meetings set ups and correspondences
  • Provide Administrative Assistance to the Human Capital department with meeting set ups, new employee orientation assistance, correspondences, etc.
  • Oversee and execute the New Employee Orientation for Providers joining ProHealth Physicians by working collaboratively with the lead PA-C and Practice Managers to ensure our new providers joining the organization have an accurate and streamlined training schedule
  • Provide back up support for our for the Executive Leadership Team with Advisory Board meetings, Regional Medial Director meetings, Clinical Council meetings, All Provider meetings, data collection and generation via Excel and creating PowerPoint presentation
  • Provide back up support for Signage program utilized across the enterprise
  • Putting files, digital paper charts, into their proper patient files
  • File laboratory X-ray documents, slips and other information to current chart
  • Review and verifies data entered into database to ensure accuracy (demographics, dob, insurance etc.)
  • Creates electronic / paper files needed to store documents
  • Reviews records to identify files that can be shredded or submitted to records storage
  • Submits files to records management using appropriate procedures / forms
  • Ensure records are labeling, filed and protected medical records from loss or defacement prior to the end of retention periods
  • Maintain data collection for potential acquired practices
  • Assist with data entry and application logistics for Patient-Centered Medical Home program
  • Maintain/support for Emergency Closing announcements on ProHealth external website
  • Serve as back-up support for building activities, including meeting set-up/break-down and fire drill logistics
  • Provide coverage for the Front Desk Associate daily for lunch and breaks, and any absences both planned and unplanned
  • Providing assistance with employee temperature screening and documentation
  • Sorting, delivering, picking up and stamping of mail
  • All other duties as assigned by management

Required Qualifications:

  • 1+ years’ experience as an administrative assistant
  • 1+ years of experience in handling medical records in a licensed medical facility
  • Knowledge of medical terminology
  • Experience with Microsoft Word, Excel and PowerPoint
  • You will be provisioned with appropriate Personal Protective Equipment (PPE) and are required to perform this role with patients and members on site, as this is an essential function of this role
  • Employees are required to screen for symptoms using the ProtectWell mobile app, Interactive Voice Response (i.e., entering your symptoms via phone system) or a similar UnitedHealth Group-approved symptom screener prior to entering the work site each day, in order to keep our work sites safe. Employees must comply with any state and local masking orders. In addition, when in a UnitedHealth Group building, employees are expected to wear a mask in areas where physical distancing cannot be attained.
