We are seeking an Executive Team Assistant to join our practice in Brighton, MA.

The Executive Team Assistant (ETA) is responsible for providing executive-level administrative support to the Senior Leadership Team and Board of Directors. The ideal candidate excels in delivering high quality and welcoming service and support. The ETA also fosters and promotes an environment of the utmost professionalism, polished work products, flexibility, creativity, ensures multiple projects are successfully managed and completed according to established deadlines. The ETA must be proactive, able to anticipate feedback, barriers, and setbacks to ensure timely completion of all deliverables.

Responsibilities of the Executive Team Assistant

  • Strategically prioritize and coordinate the calendars of the SLT and Board members, minimizing conflicts, ensuring quorums are met, and that attendance is confirmed while mitigating impact on patient care when applicable.
  • Respond independently to internal and external mail and inquiries, within the scope of authority.
  • Must be readily and easily accessible by phone, text, email, and Skype to respond to routine inquiries, project and meeting requests, and other tasks. Must monitor these forms of communication closely and repeatedly throughout the day.
  • Take self-initiated action to complete related tasks. Take accurate messages and actively follow up to ensure excellent customer service and administration support. Determine where and how to add value instead of simply passing along a message while keeping in mind the goal is to take administrative tasks off SLT members.
  • Support the Board of Directors and its committees including preparing notices of Board and committee meetings, preparing and emailing materials for meetings, setting up conference lines and screen sharing information for attendees participating remotely, sending confirmations, and finalizing all meetings.
  • Perform other duties as required or requested by the CAO, SLT or Board.

Requirements of the Executive Team Assistant

  • Associate's/Bachelor's degree required, Master's degree preferred.
  • 3-5 years of experience as Administrative or Executive Assistant required, including experience supporting an executive team of Board members.
  • Must have excellent and efficient Microsoft Outlook, Word, Excel, PowerPoint, and Adobe skills.
  • Must have a valid driver's license and reliable car/transportation for travel between Health Center's sites and to run errands.
  • Must be highly organized, exceptional at multi-tasking, and comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates in a fast-paced environment.
